Job Duties:
Under the direction of the Fellowship Program Director, provide administration of the fellowship program in Pediatric Hematology/Oncology including coordination of the applicant interview/recruitment process, organization of site visits and external/internal reviews of the program. As Division Manager, provide managerial and administrative support to the Division Chief, faculty and staff of Pediatric Hematology/Oncology. Coordinate Annual Division Retreat and Annual Report of Clinical, Research, Philanthropy and Fellowship activities. Review and update website content for the Division. Duties include supervising clinical office staff, screening and referring calls, preparation of correspondence and reports, scheduling meetings, staffing lectures and meetings involving faculty, fellows and division staff, assist with community and donor relations.
Job Qualifications:
Experience in analyzing information, problems, situations, practices and procedures to define the problem or objective, identify relevant concerns or factors, patterns, tendencies, and relationships, formulate logical and objective conclusions and recognize alternatives and their implications. Interpersonal skills to establish and maintain professional and effective working relationships with pediatric hematology/oncology faculty, staff, students, housestaff, fellows, patients and the community. Demonstrated knowledge in preparing and writing concise and logical memoranda and analytic reports to explain administrative and programmatic data. Skill in working as part of a team; collaborating with colleagues. Skill in prioritizing assignments to complete work in a timely manner when there are changes in workload or assignments, deadlines and completion requirements. Skill in negotiating, exchanging ideas, information and opinions with others to formulate policies and procedures and/or arrive jointly at decisions, conclusions and/or solutions. Experience in operating an IBM PC to design and prepare documents, spreadsheets, data management, word processing and desktop publishing. Experience in planning meetings, conferences and other special events. Working knowledge of University forms, policies and procedures in the areas of admissions and postdoctoral education. Skill in writing concise and grammatically correct correspondence and reports to communicate with faculty, fellows, applicants, visiting professors and administrative staff. Ability to clearly communicate one-on-one and in groups to obtain and convey information and to maintain cooperative working relationships with physicians, nurses, administration,visitors, patients, families and donors. Demonstrated skills in planning, organizing and implementing projects in a timely manner and ability to set priorities that accurately reflect the relative importance of job responsibilities. Ability to work with various campus organizations and activities and with individuals in the community. Skill in establishing and maintaining organized paper and electronic filing systems. Ability to work independently and follow through on multiple assignments with minimal supervision. Experience working with medical personnel and individuals of different educational backgrounds and experiences. Demonstrated knowledge and 10 years of experience of ACGME and ABP fellowship core and program requirements.
