ly administrative duties -Phone coverage as required by BA or LA executive oAnswer phone calls oManage voicemail box(es), if requested oInitiate conference calls oProvide technical support & troubleshoot issues as needed -Maintain calendar, tasks list and contacts list -Coordinate schedule, meetings and travel -Handle expense reports -Photocopy and faxing -Order supplies -Mail processing and couriering -Understand and follow all programs, processes and procedures in place to enable consistency e management -Manage all electronic and hard copy files -Develop and maintain standard forms, archives, procedures and systems for repeat use in the department earch -Perform ad hoc research as requested -Perform Lexis/Nexis searches tracts -Be familiar with the processes and procedures in handling executed agreements, obtaining counter-signed agreements, processing requests, database tracking and file management. -Be familiar with and know how to utilize the various form agreements, letters and other documents for both Business and Legal Affairs -Typing, compare write and redlining of all agreements, memos and letters -Distribution of agreements, both short-form and long-form -Develop templates to be utilized for short and long form programming -Maintain tracking report to track the status of outstanding short forms and contracts -Draft and send out correspondence and other documents as required
KEY PERFORMANCE GOALS -Follows processes and procedures (e.g. filing system) -Demonstrates strong knowledge of both business and legal affairs functions and documents and forms utilized to support supervisors.
KEY SKILL REQUIREMENTS -Follow procedures and instructions set forth by supervisors. -Able to take-in and process multiple requests concurrently. -Excellent verbal and written communications. -Strong knowledge of telephone, voicemail, and conference call technologies and procedures. -Display a high level of teamwork and collaboration. -Strong knowledge of legal processes and procedures especially department filing procedures. -Proficiency with red-lining . -Strong PC & software skills (MS Office Suite including Word, Excel, Adobe, Outlook & IM, SAP for expense reports, time entry and supply ordering, Intradoc), typing skills, 65-75 wpm. -Strong computer and organization skills: i.e Word, Outlook, Excel, Adobe. -Close attention to detail.
